Health & Safety Guidelines

Understanding 'Risk to Others'
A risk to health and safety is the likelihood of someone—such as a member of the public, an employee, or a fellow trader—being harmed or injured as a result of your work activity.
As a trader, you have a legal duty to protect yourself and others. This involves:
  1. Identifying Hazards: What could cause injury or illness?
  2. Assessing Risk: How likely is it that someone could be harmed, and how seriously?
  3. Taking Action: Eliminating the hazard or putting controls in place to reduce the risk.
Do I need a written Risk Assessment?
Under the Management of Health and Safety at Work Regulations 1999:
  • 5 or More Employees: You are legally required to have a written risk assessment.
  • Fewer than 5 Employees/Self-Employed: While you may not be legally required to write it down, you must still perform the assessment.
Our Recommendation: Even if you are exempt from record-keeping, we strongly advise having a written copy available. Auckley Show is responsible for the overall safety of the field, and we must ensure all traders have considered their risks.
Risk Assessment Resources
To make the process easier, if you do not already have a risk assessment, we provide templates tailored for event traders. You can use these to help prepare your documentation:

Exemption Declaration Template
(If you are exempt from written records you should confirm you have performed an assessment)

Safety Certificates & Inspections
If your stall uses equipment that requires maintenance or testing, you must have the following documentation available for inspection by Show Officials or Local Council Safety Teams:
  • PAT Testing: For all electrical equipment.
  • Gas Safety: Current certificates for all LPG/Gas appliances.
  • Digital Copies: Electronic copies (PDFs or photos) are acceptable, provided you can easily email them to an official upon request.
